Job description: Media Assistant 1
The MA1 serves as the primary connection between Media and Accounting and between Accounting and Account Management for all questions related to media billing.
They help the Media Director get media campaigns funded (and keep them funded month over month) by following the media buying and billing protocols outlined in this document.
Responsibilities:
- Save approved media budget worksheets in Workamajig.
- Create media vendor invoices to fund media campaigns (see campaign funding SOP)
- Save Invoices in Workamajig
- Collect proof of performance documentation in Bionic and on the server in the appropriate “MEDIA” job folder so that they can later assist the Media Director with the media reconciliation process
- Know and be able to communicate the media billing method for every client – either advanced bill or month to month – and – for creating the appropriate invoices (either internal or external)
- Apply earned media revenues to the GL accounts in the Cayenne Operating Account.
- Confirming that Cayenne has been paid by its client before media vendors are paid…They use the Triple Yes tool in Workamajig and confirm it with the Integrated Media Director and with the Accounting and Ops Manager.
- Update actual spends to budgets – and maintain a rolling balance for each client/campaign.
- Other tasks as assigned by the Integrated Media Director or partners
Reports to: Director of Integrated Media
The Job Purpose: Ensure the integrity of our Media Billing process.
Success looks like:
- Pre-funded and continuously funded media campaigns
- Easier media reconciliation driven by quick access to fully collected proof-of-run/performance documents and well-cataloged media expenses.
- Improved cash flow driven by timely application of media funds, once earned, to the Cayenne operating account.
